Booking Meetings

Follow these guidelines to easily organize and manage your meetings with Kite:

 

Meeting Availability

Go to the 'Meetings' tab to view all available rooms along with their maximum capacities.

Creating a Meeting

Click the 'Create Meeting' button to initiate the process of setting up your meeting.

Meeting Details

Fill in all the necessary details for your meeting, such as date, time, location, description, participants, and create the meeting.

Inviting Participants

You will be redirected to another page to invite your guests. If your list is not ready, you can return later by editing your meeting. You can finalise your guest list and invite them all in one shot or you can also invite your guests individually using the invite link next to their names. They will receive an email invitation.

 

When your guests are invited, the status will turn green as invited:  

Your Meetings

You can find the list of meetings you've created and those to which you've been invited  in the meeting schedule view in the meeting tab here. You can edit or delete your meeting as needed. 

 

Your meetings will also be displayed in the 'My Agenda' tab with bookmarked sessions:

 

 

Add to Your Personal Calendar (Google Calendar, Outlook)

This feature adds calendar events that belong to you only; guests are not synced

From here, you can add your meetings to your personal calendar.

You can also add the meeting to your personal calendar through the notification email.

 

This calendar won't sync automatically; any changes to your meeting must be made within your 'My Meeting' space in Kite.
You can then manage your personal calendar directly by choosing to receive notifications, deleting it, etc. depending on your update.

Ownership and Modification

Only meeting owners have the authority to modify a meeting.
